Privacy Policy

TradePal is run by Orbit Systems Pty Ltd (“we”, “us”). This policy explains, in plain English, what information we collect, why, and what we do with it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Account details: your name, email, phone, business name, ABN and address.
- Your business data: the clients, jobs, quotes, invoices, price lists, receipts, notes and photos you and your team put into TradePal.
- Staff data: names, contact details, pay rates, hours worked, breaks and, while clocked on, location and kilometres, if your business turns this on and the staff member agrees.
- Payment details: card payments are handled by Stripe. We never see or store full card numbers.
- Website visits: pages viewed, clicks and scrolling on our website, collected with Microsoft Clarity to see how people use the site. Typed text is hidden from these recordings.
- Chats and emails you send us.
Why we use it
- To run TradePal for your business: quoting, scheduling, timesheets, invoicing and payments.
- To send the emails you ask us to send, such as quotes and invoices to your clients.
- To bill your subscription and to support you when you need help.
- To keep the service secure and to improve it.
We don't sell your information, and we don't use your business data for advertising.
Who we share it with
We only share information with services that help us run TradePal, and only what they need:
- Hosting and databases (Railway, Vercel) and file storage.
- Stripe, for subscription and card payments.
- Xero (and MYOB when available), only if you connect your accounting software.
- Email delivery (Resend) for quotes, invoices and account emails.
- Anthropic, to read receipts you upload and to answer chat questions on our website.
- Microsoft Clarity, for website analytics.
Some of these providers store data outside Australia, for example in the United States. We choose providers with strong security and privacy commitments. We'll also share information if the law requires it.
Who can see your business data
Only you and the people you add to your business. Each person sees what their role allows: staff see their own jobs and hours, not your prices or pay rates. Our team only looks at your account when you ask for help or when we need to fix a problem.
Keeping it safe
Data is sent over encrypted connections, passwords are stored hashed, and access is limited by role. No system is perfectly secure, but we take reasonable steps to protect your information and will tell you if a data breach is likely to cause you serious harm.
Your choices
- You can see and update your details in the app at any time.
- You can ask us for a copy of your information, or to correct it.
- You can delete your account in Settings. We then delete your business data, except records we must keep by law (for example, tax records).
